Proceedings of Academic Council Meeting held on 09/01/2021 at 12:00 noon in College Library

  • The principal gave New Year wishes to all the members of Academic Council.
  • The principal congratulated all the members of Academic Council and other staff members for the successful completion of odd semester in online mode in a very difficult COVID-19 pandemic situation.
  • A discussion has been made regarding the start of even semester classes in offline/online mode. After thorough discussion in the light of guidelines issued by Punjabi University Patiala/ Punjab Government / Health Department Punjab the following decisions have been take:
  1. Student Survey to be conducted regarding offline classes.
  2. Every student should submit the undertaking to follow SOP and guidelines issued from time to time by Govt. Agencies, while attending offline classes.
  3. The offline classes will be started in phased manner (by maintaining social distancing) starting with PG 1st year classes from 18th January, 2021 and UG 1st year practical classes from 14th January, 2021
  4. The UG 2nd, 3rd year and PG 2nd year classes will be started from 1st February taking into account the University Practical Examination schedule. The strength of class be kept to half where ever necessary.
  5. The UG 1st year classes will be started after the completion of 1st Semester examination in the month of February, 2021.
  • The teachers are to submit their pending internal assessment award by 11th January, 2021 positively.
  • The teachers are to expedite the evaluation work of on-going examinations and submit the awards for uploading on the University portal.
  • Workload / subject allocation for offline classes are to be submitted by the HoD of the respective department on 11th January, 2021.
  • Unit planning for even semester to be submitted in Registrar Office by 18th January, 2021.
  • The teacher in-charges of various Certificate Courses/Clubs/Societies will enroll the students through the google form by the end of this month.
  • The college magazine (softcopy) ‘The Luminary’ for the session 2018-19, to be released by 20th January, 2021.
  • To prepare and submit the Annual Report to the Punjabi University by 20th
  • The HoD of respective departments are to discuss the proposal of activities like RACES, Conference of BioScience, Management day, Health Survey, Cafeteria and Nutrition Survey, Mother Tongue Day with the Principal in next week.

Minutes of the Meeting of the Academic Council held on 24.09.2020

Meeting of the Academic Council held on 06.04.18 at 02:15 p.m in the Principal’s office and following decisions were taken in the meeting

  1. There are some representations from parents and students about the problems being faced by the students in online classes. As the students have to spend a lot of time in front of screen so they are facing problems like irritation in eyes and mental stress. So to give students screen off time, teachers are requested to confine class time to 30 minutes and give 10 to 15 minutes break between two lectures.
  2. In the light of Punjab Band Call on 25th 2020, it is decided to conduct University Exam in Work from Home mode and all the Nodal Officers and Assistant Nodal officers will conduct the exam from home and submit excel sheet of students responses at the mail id: [email protected]and download the folder from google drive on the hard disk of the system and submit the same in office on 26th Sept.2020.
  3. The Nodal Officer, Assistant Nodal Office and staff on exam duty need not meet their classes on exam day and inform their students in the Google classroom accordingly well in advance.
  4. The tentative schedule of Mid Semester Test for odd semester will be from 5th November 2020.
  5. The students will get the Google form for registration to various societies, clubs, activities, and add-on-courses. The students may register for the activities of their interest and participate for their harmonious development. These activities will be conducted preferably on Saturday.

Minutes of the Meeting of the Academic Council held on 28.04.2020

 An online meeting of the Academic Council held on 28.04.2020. Registrar Dr. Ajit Kumar welcomed all the attendees and briefed about previous online academic council meeting in this lock-down period during the challenges of spread of covid-19. He discussed that, in the previous meeting planning for online MSTs and procedure for the conduct of MST was chalked out. And with the co-operation and coordinated efforts of all, MSTs have been conducted successfully and result was prepared in record time of two days.

Dr. Ajit Kumar further discussed agenda and updates for the meeting to discuss about the status of syllabus covered, procedure of Internal assessment compilation, Status of MCQ question papers received in registrar office, feedback about MSTs received from students and staff, Admission process for next session etc.

Principal, Dr Khushvinder Kumar, placed on record appreciation for the conduct of online classes and MSTs. He further discussed:

  • The feedback received from students and teachers
  • Head of the departments are to take telephonic assurance of syllabus completion from staff and send a message to principal
  • Internal Assessment for all the subjects is to be collected from teachers and compiled class wise by the HoDs.

The registrar office shared the status of question bank received and told that they have received 440 emails against 266 questions papers and are working on to remove the duplication to find out the exact status.

Principal, Dr Khushvinder Kumar, also provided input for the preparation of prospectus and steps necessary for the smooth admission process.

Agenda of the Academic Council Meeting

The meeting of academic council of Multani Mal Modi College, Patiala held on 13 April 2020 at 4:30 pm through video conferencing. All the members of the academic council get the link and instructions regarding how to join the meeting through mobile/laptop. The following points were discussed in the meeting.

  1. Schedule of upcoming activities
  2. The process of online mid semester examinations
  3. Procedure to prepare the internal assessment
  4. Status of syllabus covered

The details of each point of discussion resolved as below:

Schedule of upcoming activities

  1. All the teachers are required to prepare the question papers in MCQ format by 19th April, 2020 and keep the link of the paper ready for the conduct of exam.
  2. Online Mid Semester Examination will start from 21st April, 2020.
  3. The mentors will compile the result by 25th April and send the softcopy in excel format at [email protected]
  4. Registrar office will prepare the list of students who did not appeared/qualified the MST by 26th April, 2020.
  5. All the teachers will prepare the internal assessment by 28th April and send the soft copy to the Head of the concerned department.
  6. All the HODs will moderate the internal assessment and send the final copy to Mr. Jasvinder Singh in General office by 5th May, 2020.
  7. Process for the conduct of online mid semester examinations is discussed and detailed mechanism shall be provided shortly.
  8. Guidelines for setting of question paper and procedure to prepare Internal Assessment shall be provided in the next three working days.
  9. Instructions for the students to appear in online MST shall be prepared by registrar office.

An emergency meeting of the Academic Council held on 14.3.2020 in the Principal’s Office at 02.00 p.m.  to discuss the future course of action in the light of Covid-19. It was resolved.

  1. To withhold the MST commenced from 14.03.2019 in the light of ban on public transportation due to Covid-19.
  2. To organize a FDP in the next week for teachers to train for virtual classes.
  3. To organize the activities for meaningful engagement of students and moral boosting activities to combat the COVID19 situation.
  4. Faculty of computer department to explore the purchase of viable and feasible LMS’s for on-line education.

  1. Report of the new value-added certificate courses were presented by respective teacher in-charges. The course hours will be completed by March.
  2. The time-table for the even semester is to be displayed today and classes to commence from 16.1.2020.
  3. All the teachers to check their respective subject/class curriculum from University site regularly to update themselves and their students accordingly.
  4. Analysis of the results of session 2018-19 (teacher wise) is to be submitted by each HOD by 16.1.2020
  5. All the staff members to submit their academic research works/ publications in the fix proforma as desired by Dr. Ajit Kumar and Dr. Sanjay Kumar. Members are also required to check their impact factors/ citation and update it regularly.
  6. Staff members to work for the publications and development of e-resources and submit the same to Dr. Sukhdev Singh by end of January 2020.
  7. Vinay Garg is required to develop separate e-mails on Modi College site for each department/office and one exclusively for University examinations by 18.1.2020.
  8. All the departments are required to utilize the funds allotted to them (as per UGC norms) under CPE Scheme latest by 10.2.2020.
  9. Ashwani K. Sharma to arrange the visit of Science students to I.K. Gujral Science City.
  10. Every department must assure some student (group/individual) project (in addition to the assigned curriculum) or survey by end of March 2020.

  • Need based workshops to be organized.
  1. Department of Life Sciences and Geography to prepare a report on Water Recharge in campus and activate decomposit pit with enhanced capacity.
  2. All the departments to prepare for NAAC by December 2019. Provide all required data to the IQAC for online application as and when demanded.
  3. Class mentors to carry all activities planned as per previous session and to create and use an e-mail and WhatsApp list of their mentee students for group information and activities.
  4. Teachers to submit of Research Proposals on various schemes like STRIDE by UGC, DBT, CSIR, ICSSR, and DST.

Meeting started with the appreciation of faculty for successful completion of academic session 2017-18. It was unanimously resolved that:

  1. Class mentors to work to establish more fruitful rapport with students and report their presence record fortnightly.
  2. The HODs be delegated responsibilities for checking workload, regularity of classes and students. Monitoring the continuous conduct of classes and submitting weekly report by HODs to the office for smooth functioning of the college.
  3. Inter/Intra departmental reflective activities like seminars, discussions, declamation, symposia, hands–on experience, exhibitions extensional learning etc. should preferably be arranged on Saturdays.
  4. Faculty should make efforts to motivate, sensitize and arrange extracurricular projects, social activities, and internships for students.
  5. Plan and execute departmental calendar for the session and adnaces planning for the activities of college academic and co-academic calendar.
  6. Time table for the session (2018-19) (teacher-wise, room-wise and class-wise) will be displayed for faculty and students and copy will be submitted to the general office and registrar office for reference. Timetable to be displayed by 23.7.18
  7. The schedule for commencement of classes as annexed is approved along with the orientation schedule.
  8. Discipline is the joint duty of each and every teacher. However, the veranda discipline duty list to be finalized by the time table Incharge till 28.7.18.
  9. All deans/ HODs to take initiations for their departmental publications.
  10. Mrs Baljinder Kaur to finalize and submit College annual report to the University by the stipulated date.
  11. College magazine to be released in the month of August.

  3. Congratulations to the faculty members for college being placed in top 8 North Indian institutions in Commerce and Science stream by ‘The Tribune Survey’
  4. A sense of satisfaction on outcomes achieved on POA for  the session 2015-16( as per attached list) and POA for the session 2016-17  chalked out( as per attached list.)was expressed for the IQAC
  5. Execution of Academic Calendar 2016-17 discussed
  6. Admission process is to be rationalized to facilitate the allotment of Roll Numbers and Sections at the time of admission. Admission committees for the session 2016-17 formed (as per attached list.)
  7. Cut offs for admission are to be monitored by the Admission counseling cell and concerned committee incharge on regular basis with prior discussion with the Principal. The committees and admission guidance cell to admit students accordingly and maintain the record of cut offs.
  8. Section Incharges to be formed by the time table incharges.
  9. Extension lectures for a specific target section of students by each department is expected in the light of golden jubilee session of the college.
  10. Photography club, Heritage club and General Studies circle to plan their activities for next session.
  11. All PG departments to plan the coaching for NET/CSIR Test or any other relevant competition.
  12. College based merit scholarship of Rs. 5000 for 1st year students having 90% or more marks in +2 to be started from the session 2016-17.
  13. C. accepted the POA suggested by IQAC and resolved to work out the possibilities of operational MOU with the organizations of IT sector, start hands-on-training for the PG science students, take up the activities in current session in the light of Golden Jubilee session.
